About

Square Peg Property Solutions have extensive experience in producing property inventory reports, checkout/checkin reports, mid term inspection reports and a wide range of remedial contracting services for letting agents and landlords across Leeds and the Yorkshire area.

At Square Peg we appreciate the importance of 'turning a property around' as soon as possible in order to get it back on the market, so you will always get our immediate attention.

Services

Inventory Reports

A detailed property inventory report is generated with supporting photos of each room and external areas.

The report includes, key check, meter readings, smoke alarm and CO2 check and an additional column for move in/checkout notes.
Customised reports available to accommodate client requests.

Checkin/Checkout Reports

A detailed checkout report is generated at the end of the tenancy and is supported with date stamped photos.

The consultant will generally asses where the liability lies regarding any damage, cleaning, gardening, decorating or any other issues which have arisen during the tenancy. 

A detailed checkin report is generated at the start of the tenancy and agreement is confirmed between the tenant and consultant regarding the condition on the day of move in. Any issues are highlighted and once agreement is reached the document is signed and dated by both parties.

Tenant/landlord negotiation: On request, our consultants can negotiate with both parties to arrive at a mutually acceptable  conclusion. Where agreement cannot be reached we are experienced in dealing and resolving  TDS (Tenancy Deposit Scheme) disputes.

Negotiation fees will be determined by the complexity of a case.

Mid-Term Inspections

A mid-term inspection is carried out to asses the general condition and upkeep of the property during the tenancy. A detailed report is produced with supporting photos and tenant/consultant comments. We asses and report what could potentially be detrimental towards the properties well being, e.g smoking, presence of pets, damp, mould and general dilapidations. The original inventory is not used to carry out the inspection.

Student/Tenant Services

DON`T LOSE YOUR DEPOSIT!

If you are coming to the end of you tenancy, let us inspect the property and advise on the areas where you are likely to be charged for cleaning and repairs. We will provide a full written report including photographs so you can tackle the issues to avoid losing your deposit.

We charge £10 per bedroom with a minimum of £35. If cleaning and/or repairs are required our maintenance department would be happy to give you a free quote for the work.

Maintenance and Contracting Services

Cleaning - Light, medium or deep cleans to include carpets, upholstery, ovens etc.

Gardening - Grass cutting, hedge trimming, weeding, patios power washed and all general garden maintenance.

Decorating - All jobs undertaken from small re-paints to full refurbishments.

Removals - Unwanted items of furniture and rubbish removed and disposed of .

​

Drives & Pathways - Power washed.

​

General maintenance inside and out.

​

Smoke alarm and CO2 alarm check and replacement.

  • Why is an inventory report needed?
    An inventory report is needed so that both tenants and landlords mutually understand the condition of a property at the start of a tenancy. The document is vital when coming to the end of the tenancy as it will be used to note the differences in condition and where the liabilities lie for any cleaning, damage or general delapidations to a property.
  • Why is a checkin report needed?
    A checkin report is needed to mutually agree with the tenant the condition of the property at the start of the tenancy. It's also used as a check list to make sure all keys are correct, smoke/CO2 alarms are working, rent and deposit has been paid, meter readings have been taken and a signature has been provided to confirm all has been checked.
  • Why is a checkout report needed?
    A checkout report is needed to outline the condition of a property at the end of a tenancy. The report should highlight differences in condition from the commencement of the tenancy to that of the end. This document is also used if tenants raise a dispute with the deposit scheme against any costs proposed by agents or landlords.
  • What areas do you cover?
    We are based in Leeds and generally cover a 30 mile radius which includes a large part of yorkshire. Our published prices are extreamly competative so we need to be mindful of the distance we travel, firstly to collect keys and then travel time to and from appointments. We will however consider any area subject to negotiation of an appropriate fee.
  • What is the booking proceedure?
    You can call on any of our numbers or email us on our contact page or direct on enquiries@sp-ps.co.uk. Emailing is probably the best method as we can check where our consultants are and give you an accurate appointment time. Please state the property address, where keys are held and the type of appointment required.
  • How quickly can a report be available?
    We aim to get the report to you within 24 hours of our visit and 48 hours of your instruction. To speed up the process we can also visit properties in the evening and at weekends, if keys can be made available. Reports are generally emailed but a paper copy can be made available on request.
  • Are you able to help with landlord/tenant negotiations?
    Yes: We offer this as an additional service. Often negotiations between landlords and tenants about the responsibility of cleaning and repairs is awkward and embarrasing! Tenants may not have read their tenancy agreement in detail and dont realise their responsibilities. Demands for payment by the landlords can often esculate into arguments/disputes and unpleasant situations. We are totally independant so can point out the legal responsibilities for both parties and avoid landlords and tenants "falling out" or raising a dispute. The cost of this service will depend on the complexitiy of a case.
  • Can the report be used to settle disputes?
    Yes: The purpose of a detailed report is to have evidence at "a point in time" which can then be compared to previous reports, outlining any difference in condition. Landlords and tenants may not remember the precise condition of a property at the point of inspection so a detailed report generally records the condition to avoid any disputes.
  • How is payment made?
    Our standard terms of business are payment within 30 days of appointment.
